The Opportunity
Adelard, part of
NCC Group
, provides product and services to support clients in the areas of safety, dependability, security and risk management.
At Adelard, you will be working within an interdisciplinary consultancy of international standing. We are a flexible and dynamic place to work with minimal bureaucracy. You will be able to influence the company’s development and have easy access to senior staff. Staff are encouraged to be innovative and the company responds quickly to change.
The successful applicant will be responsible for reception duties and for co-ordinating the day-to-day office operations and liaising with others to ensure organisational effectiveness.
The Challenge
- Meet and greet all clients, visitors, and staff
- Arrange temporary security passes for visitors and maintain visitors book
- Switch on/off answering service and pass/email any messages to relevant person
- Answer telephone and screen calls prior to transfer
- Overseeing incoming and outgoing post and courier deliveries
- Assist with printing, scanning and other ad-hoc tasks
- Implement and sustain a filing system for relevant paperwork
- Extensive email correspondence, occasionally covering colleagues’ mailboxes
- Respond to enquiries in coordination with the rest of the team
- Overseeing meeting room schedules and diary management of the team
- Book meeting rooms, request guest information from event organiser, order lunch, set-up, refresh and cleardown meeting rooms and lunch area for external client meetings (e.g. Project meetings)
- Book and prepare meeting rooms (laptops, AV provision, documents, etc.) to ensure they meet the necessary requirements and are available at the required comfortable environment (heating, lighting)
- Schedule meetings and workshops with diverse stakeholders
- Format and type letters, presentations and other correspondence as required
- Liaise with IT on telecoms functions when necessary
- Organise events such staff seminars, others as required (bookings and payments, preparation of materials, booking of and arrangements at venue and catering, etc)

Essential Skills
- An excellent working knowledge of MS Office including Excel and MS Teams
- Excellent time management, planning and organisational skills
- Demonstrable experience handling confidential and sensitive issues
- Excellent communication and interpersonal skills
- Excellent spelling, grammar and numerical skills
- A demonstrable positive attitude to work and ability to work well under pressure
- The ability to deal confidently and effectively with a wide range of people
